Digital-based management of incoming and outgoing mail archiving at educational institution. Optimize mail archiving at educational institutions (madrasahs) with digital management. Analyze benefits like faster retrieval, reduced loss, improved quality, and address challenges in implementation.
The management of incoming and outgoing mail archives is essential in madrasah administration. The manual system that is still commonly used often faces obstacles such as difficulty in retrieving documents, the risk of loss, and inefficient storage. Archive digitalization becomes a solution to improve the effectiveness of archive management. This study aims to analyze digital archive management and identify the benefits and challenges of its implementation in madrasahs. The method used is qualitative, involving interviews, observations, and document analysis. The results show that the digital system can accelerate document retrieval, reduce the risk of loss, and improve the quality of administration. However, challenges remain, such as limited human resource competence and resistance to change. This study contributes to the development of a more effective digital archive management model for madrasahs.
This paper, titled "Digital-Based Management of Incoming and Outgoing Mail Archiving at Educational Institution," addresses a critical administrative challenge within madrasahs: the inefficiency and risks associated with manual mail archiving systems. The study aims to analyze the implementation of digital archive management, identifying both the benefits it offers and the challenges encountered during its adoption. Employing a qualitative research methodology, which includes interviews, observations, and document analysis, the authors seek to provide insights into improving administrative effectiveness through digitalization. A key strength of this research lies in its clear articulation of the practical advantages derived from digital archiving. The findings compellingly demonstrate that a digital system significantly accelerates document retrieval, effectively mitigates the risk of document loss, and ultimately enhances the overall quality of administrative processes. Furthermore, the study does not shy away from acknowledging the practical obstacles to digitalization, such as limitations in human resource competence and inherent resistance to change. By identifying these crucial aspects, the paper offers a balanced perspective on the transformative journey towards digital archive management and contributes to developing a more effective operational model for madrasahs. While the abstract effectively outlines the study's scope and findings, future iterations or a more comprehensive paper could benefit from elaborating on the specifics of the qualitative data collection, such as the number of madrasahs involved or interview participants, to provide greater context for its generalizability. Additionally, further detail regarding the "effective digital archive management model" mentioned as a contribution would strengthen the paper's impact, perhaps by outlining its components or implementation phases. Despite these minor suggestions for expansion, this study makes a valuable contribution by shedding light on the practicalities of digital transformation in educational administration, offering crucial insights for madrasahs and potentially other similar institutions contemplating or undergoing digitalization of their archiving processes.
